Make your team’s knowledge easier to find.
An internal knowledge assistant helps people ask questions about approved business information and review answers alongside their sources. We help define what it can use, who can access it and how uncertain answers should be handled.
Discuss your projectWho is this for?
For teams whose answers are scattered across guides, documents and message threads. It can be useful for recurring internal questions, preparing support drafts or finding operating guidance, provided the source information is maintained and suitable for the task.
What we explore together
Start with trusted source material
Identify authoritative documents, their owners and how updates are approved. Conflicting or outdated guidance needs attention before it becomes an answer source.
Connect answers to evidence
Shape the assistant around retrieving relevant material and preparing an answer with source references. People should be able to inspect the supporting context, especially for important decisions.
Respect access and uncertainty
Define which users can access which sources, test restricted questions and agree when the assistant should say it cannot answer. Escalation to a person is part of the design.
Finding the current operating procedure
An illustrative example, not a client case study.
A colleague needs to know how to handle an unusual customer request. Several versions of an operating guide exist, and asking around interrupts other team members.
- Select the approved guide and identify its owner.
- Ask a question in everyday language.
- Retrieve relevant passages and prepare an answer with references.
- Check the source and ask the responsible person if guidance is missing or conflicting.
Where human judgement belongs
A referenced answer can still be incomplete or wrong. The team checks important guidance and controls which information the assistant is allowed to retrieve.
What to measure
Evaluate time to find information, source relevance, answer correctness and how reliably unanswerable or restricted questions are handled.
Start with a concrete conversation.
These details are useful for an initial discussion. Keep sensitive information out of the public enquiry form. Deliverables, pricing and timing are agreed after scoping.
- A small collection of approved, current documents.
- Common questions with examples of acceptable answers.
- Document ownership, access rules and topics that must be escalated to a person.
Questions answered
Is a knowledge assistant the same as a general chatbot?
A general chatbot may answer from broad model knowledge. An internal assistant is designed around selected business sources and access rules. Its usefulness depends on the quality and relevance of those sources.
Does connecting documents guarantee correct answers?
No. Retrieval and generation can both make mistakes. Source references, representative evaluation questions and human review help assess reliability, but do not eliminate the need to check important answers.
Can every employee see every document?
That should not be assumed. Access requirements must be defined and tested against the chosen systems. Restricted information should remain restricted throughout retrieval and answer generation.
